Staying Organized

With so many variables to record for a large number of spools, it’s easy to quickly get overwhelmed and lose track of valuable information. Use these strategies as a guide for developing a system of recordkeeping that works for you.

Daily work records 

Hatcheries, ranging from startups to large facilities with many employees, can all benefit from daily work records. You may think you’ll remember everything you did, but you won’t! In your daily log, it’s important to include the date, who was working, and what happened that day. A Google Doc or Microsoft Word document is a great, simple option for a daily log. If you prefer to write in a notebook to start, transferring to an electronic form is recommended for safekeeping. 

Whiteboards and other visual reminders 

Having visual checklists or calendars in the form of whiteboards can be helpful within the hatchery space to track daily chores and important events. In addition to helping with organization, these visual reminders can help communicate and delegate tasks among hatchery staff. 

Waterproof notebooks 

A Rite in the Rain notebook can be used to record any notes or data from the day. This can include information like blade collection and processing, seeding, water quality, growth measurements, water changes, and any other observations. It can be helpful to have dedicated notebooks for specific data categories for easy reference. 

Digital workbooks

Transferring your written records to a digital format is best practice for safekeeping. Spreadsheets are great for any data you are collecting, such as spore release values, daily water quality of your tanks, or final spool quality. This level of detail in your records can be tedious, and it may not be needed in every operation.
